We are seeking a detail-oriented and proactive Onboarding Specialist to join our HR Operations team. The ideal candidate will play a pivotal role in ensuring a seamless onboarding experience for new hires. You will be responsible for executing onboarding processes, managing employee documentation, drafting formal letters, and maintaining data with accuracy using Excel. Objectives of this Role
- Partner with hiring managers and department leads to understand team goals, role requirements, and staffing needs
- Manage the end-to-end recruitment process for positions across all levels, from junior staff to leadership
- Develop and maintain a strong talent pipeline through proactive sourcing strategies
- Ensure a positive and professional experience for all candidates throughout the hiring process
- Support employer branding initiatives to position the company as an employer of choice
- Promote diversity, equity, and inclusion through fair and unbiased hiring practices
Key Responsibilities
- Coordinate and manage end-to-end onboarding formalities for new employees.
- Collect, verify, and maintain accurate documentation and records of new joiners.
- Prepare and issue offer letters, appointment letters, and other HR-related correspondence.
- Provide orientation and ensure smooth induction of new hires into the organization.
- Explain HR policies, company culture, and code of conduct to new employees.
- Maintain and update employee data in internal HR systems and Excel trackers.
- Support with background verification and reference checks.
- Handle salary structure explanations and basic payroll components for new joiners.
- Collaborate with internal departments (IT/Admin/Finance) to ensure pre-joining and Day-1 readiness.
- Respond to queries related to onboarding, offer letters, and documentation.
Required Skills and Qualifications
- Proficiency in Basic Excel functions:
- VLOOKUP
- Pivot Tables
- IF statements
- Data sorting and filtering
- Basic formatting and formulas
- Strong written and verbal communication skills.
- Good understanding of HR policies and employee lifecycle.
- Letter drafting and documentation skills.
- Familiarity with basic salary structure and components (CTC, gross, net pay).
- Attention to detail and high levels of accuracy.
- Ability to handle sensitive and confidential information with integrity.
Preferred Skills and Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field
- Familiarity with tools such as Workday, Lever, Greenhouse, or other ATS platforms
- Professional certification such as PHR, SHRM-CP, or equivalent
- Experience coordinating campus hiring, career fairs, and virtual recruitment events
- Knowledge of employer branding and digital talent marketing strategies
